Office Assistant

Profile:

• Higher education (preferably Secretary, Administrative area or similar)

• 3 to 5 years of previous experience in a similar role, ideally in fast pace environment

• Fluency in English, both spoken and written

• Good command of MS-Office

• Soft Skills:

• Excellent communication and interpersonal skills
• Internal Client Focus and relations management with the different departments: Focus on solutions and on employees/ external visitors wellbeing
• Rigour, detail and quality orientation
• Organizational skills and ability to organize and prioritize work and handle multiple tasks simultaneously and complete tasks per deadlines
• Problem Solving and Autonomous person
• Proactive and dinamic
• Discretion and confidentiality

Responsibilities:

o Welcome stakeholders, clients, candidates or suppliers that are having meetings at the office;

o Provide telephone support, directing phone calls;

o Schedule meetings and meeting rooms

o Prepare room’s meetings for next events

o Organize and provide specific services during events, like catering, coffee

o Support on travel arrangements

o Support invoices in day to day basis

o Liaise with office suppliers (cleaning, air-conditioned companies, office stock material)

o Provide other general administrative support needed
